Learn how to use AI and agent instructions to customize automation and tailor guest replies. A template is a reusable reply built from three ingredients: text that never changes, instructions the AI executes automatically from your hotel's Knowledge Base, and instructions an agent handles before sending. You decide the mix.

Step 1 — Define your static text

Write the standard framing text for your message: your greeting, your hotel's sign-off, and any standard "thank you for reaching out" line. This is what keeps every guest reply sounding consistently on-brand, automatically.

Step 2 — Define the AI instruction (Automation)

Within the message body, type your instruction inside brackets like this: [ai agent: insert instruction] — for example: [ai agent: answer question about check-in]

This visually creates an AI instruction in your template that instructs the system on which questions to answer automatically. The AI scans your Knowledge Base and fills in the precise answer before the draft reaches your agent.

Step 3 — Define the agent instruction (Manual Work)

Within the message body, type your instruction inside brackets like this: [human agent: insert instruction] — for example: [human agent: check if early check-in is approved]

This visually creates an agent instruction in your template, defining the specific topics where your agent must manually reply, confirm data, or personalize the interaction. The AI leaves a clearly marked space in the draft, so your agent knows exactly what to handle before sending.

Step 4 — Choose your mix

You have total freedom over how you combine these. You can create a template that is mostly AI for quick policy questions, or a mostly agent template for complex reservation inquiries — the choice is yours.

Tips

1) The best templates handle the "boring" repetitive stuff with AI instructions — so your team can focus on the "important" parts that make your guests feel special.

2) A well-balanced template uses AI instructions for clear policy questions and agent instructions for complex, non-standard requests.
